Requesting A New User

How It Works

When you request a user, Ideation's tech team receives the request and reviews the location(s) you are requesting New User access to. Upon approval, the Ideation technician will set-up the account and email both you and the new user the account is ready. The New User will receive a separate email with their login instructions.

New User Approval Process

A form has been built in Airtable where exhisting backstage hub users can request new users be added. We have also embedded the form in a Webflow page as well.

Adding A New User

Utilize the following process to add a new backstage Hub user:

Step 01

Fill out the ADD BACKSTAGE USER form. This creates an Airtable record and send an email to younofs@ideationmarketingllc.com to create a new backstage Hub user.

Step 02

From the email sent, click on the on the Airtable Record link to open the record and set the user permissions.

Step 03

Once you have the record open, you need to make sure the following fields are set:

  1. Access Group - This is the level of access that this user has within backstage Hub
  2. Access Granted - This is the date this user was sent an email with their login instructions, username, and password
  3. Company - This is used to differentiate corporate users from franchise users
  4. Webflow Status - Set to "Actvie"
  5. Item ID -
  6. [bH] pw - Generate a Password that you will placed in the users Memberstack profile that is used to access backstage Hub

Step 04

When you submit the ADD BACKSTAGE USER form, a collection item is automatically created in Webflow. Open the Webflow collection item and make sure the following fields have all been assigned a value:

  1. backstage Location Match*
  2. Location Link Tree Match*
  3. backtage Onboarding - only use if this location is going to go through the Onboarding Process
  4. Display Onboarding Link - only use if this location is going to go through the Onboarding Process
  5. backstage Reports
  6. Access Group*
  7. Team Member Match
  8. Display Corporate Contacts - use this only if this is a corporate employee the franchisee's need access to
  9. Company - This is used to differentiate corporate users from franchise users

Step 05

Next, you need to go to each of the Webflow collection items in both the [bs] Locations and Link Tree CMS collections and add this user to the Authorized Backstage Users field(s).

**Make sure you publsh the Webflow website at this point so the user profiles and access rights are live

Step 06

Now you need to create the user profile in Memberstack. The fields you need to fill out are:

  1. Membership - this is the level of access the user will have in backstage Hub
  2. Email Address
  3. Member Page - this is the slug of their Webflow collection item (usually first and last name with a hyphen between ex. brent-stuchlik)
  4. Password - use the Password you generated in Step 03 #6

Step 07

Test the user's access to backstage Hub by logging in as that user. You want to make sure they only have access to the locations they are supposed to have access to.

Step 08

If their access is right, email the new user the login link, their username (email) and their password.
